Corporate Secretory Lead Officer

Functional responsibilities

  1. Perform a wide range of administrative and general support duties of a highly responsible and confidential nature.
  2. Handle and enable board of directories and its committee meeting logistics,
  3. Coordinate with all concern Depts. and board of directories and its committees’ member’s secretaries for meetings need and other requirements,
  4. Process documentation and information from a variety of sources in order to support board meetings/ corporate secretarial function.
  5. Copy, fax, file, scan, print, type and distribute documents as required
  6. Implement appropriate filing and data retrieval systems in order to ensure ease of access to up to date information at all times.
  7. Perform receptionist duty for the corporate secretarial function, screen telephone calls, letters and visitors.
  8. Schedule appointments and coordinate arrangements for meetings and conferences.
  9. Maintain office files and records in accordance with internal procedures.
  10. Type routine letters and memoranda from specific instructions.
  11. Maintain inventory of office supplies and interact with vendors regarding selection, pricing and delivery of office supplies, equipment and services.
  12. Arrange local hotel and transportation service arrangements and recommend selection of travel agencies.
  13. Make travel arrangements in a time-effective way, including booking itineraries/venues, ensuring most effective use of time and cost.
  14. Perform other duties as required by higher levels of supervision.
